Executive Committee

Committee Coordinator: Alitia Farrell

Assistant Teacher Adviser: Bob and Jenny Jeffs

Executive committee members are: Trust President, Trust Secretary, Trust Treasurer, appointed Trust Members and Assistant Teachers. May also include past Executive Committee members.

Functions/Responsibilities:

  • Make emergency decisions that cannot wait until the next Trust meeting. Oversee the direction of the Trust (including Centre planning, financial planning and legal issues)
  • Follow up on issues or activities, which may be outside the purview of other committees.
  • Oversee how the Trust and committees are functioning, including committee structure.
  • Support and advise committees so they remain relevant and productive.
  • Review and prioritize Trust issues and make appropriate recommendations to the Trust.

Centre Management Committee

Committee Coordinator: Josh Bowie

Assistant Teacher Adviser: Dylan and Sonya Fry

Functions/Responsibilities​:

  • Works closely with Centre Management Team (Centre Manager, Centre Manager Support, Kitchen Coordinator, Caretaker).
  • Meet regularly and maintain regular communication with Centre management team.
  • Provide ongoing support to the Centre management team in their training and daily responsibilities.
  • Act as liaison between the Trust and Centre management team.
    • Inform appropriate committee of the need/request of Centre management
    • Keep Centre management up-to-date with committee progress in addressing the need/request.
  • Define the Centre management team job descriptions and responsibilities, revising them when necessary.
  • Set Centre management team stipends, and obtains Trust approval for adjustments, when necessary.
  • Publicize the need for new Centre management team members through appropriate channels.

Due to the difficult and often sensitive nature of Centre management, the liaison plays a vital role in the functioning of this committee.

Finance Committee

Committee Coordinator: Naga Shunmugan

Finance Committee members include: Trust Treasurer, accounting analysts, Trust bookkeeper, old students

Functions/Responsibilities​:

  • Supervise Centre funds and accounts.
  • Ensure that appropriate financial management processes are in place and being executed.
  • Propose policy for loan payback schedules and works in conjunction with Planning Committee regarding this.
  • Oversee short and long term financial planning
  • Make recommendations to the Trust for large expenditures
  • Provide tax receipts
  • Reviews annual budget with each committee, creates annual budget and submits to Trust for approval
  • To ensure that appropriate financial management processes are in place and being executed.
  • To work with a Financial Auditor approved by the Trust to audit the finance and accounts of the Foundation
  • To oversee short- and long-term financial planning.
  • To develop funding plan for any development proposed by the Planning Committee, including loan repayment schedules, when necessary.
  • To consult as necessary with other Committees.

Operations and Maintenance Committee

Committee Coordinator: James Ross

Functions/Responsibilities​:

  • Ensure the Centre remains operational year round.
  • Oversee the maintenance of the mechanical and electrical systems.
  • Update and monitor the Replacement Fund Budget
  • Coordinate the maintenance of the interior and exterior of buildings
  • Monitor the health of equipment and machinery and propose upgrades when needed
  • Coordinate with other committees when necessary
  • Submit operations and maintenance budget
  • Assess the need and hiring of professionals as needed
  • Oversee the work periods

Household Committee

Committee Coordinator: Ryan Wiskar

Assistant Teacher Adviser: Dylan Fry

Functions/Responsibilities​:

  • Maintain communication with Centre management regarding course facilities, including their maintenance, cleanliness, and readiness for courses.
  • Research items for purchase and upgrade equipment and supplies when necessary.
  • Maintain communication with other committees and its members regarding areas of overlap, informing them of maintenance and improvement needs.
  • Make prompt decisions in conjunction with Centre managers, when necessary.
  • Responsible for setting cleaning standards and procedures.

Kitchen & Dining Hall Committee

Committee Coordinator: Paula Farrell

Assistant Teacher Adviser: Dana Kimbell

Functions/Responsibilities​:

  • Consult and support the Kitchen Coordinator in providing nutritious and cost effective meals for students and servers.
  • Oversee kitchen operations; menu revisions, equipment maintenance and equipment purchases, food prep procedures, inventory and order volumes.
  • Oversee implementation of the budget
  • Ensure we meet local and provincial safety and sanitation regulations concerning the receiving, storage, and preparation of food.
  • Develop and maintain relationships with vendors.

Children Course Committee

Functions/Responsibilities​:

  • Work with the Regional Children Course Coordinators and children’s and teen’s course teachers to schedule regular children’s courses around British Columbia.
  • Recruits, train and oversee old student servers and administer every aspect of children and teen courses at Dhamma Surabhi and locations around BC.

Planning and Projects Committee

Functions/Responsibilities​:

  • Develop and assess/reassess long range plans. Oversee Centre development.
  • Prioritize building projects.
  • Develop a budget for projects.
  • Works in conjunction with Grounds and Garden Committee to ensure that landscaping / tree plantings fit with long-range Centre plans.
  • Act as a consultant to other committees undertaking projects that could impact long-term plans.

Registration Committee

Committee Coordinator: Rob Weaver

Assistant Teacher Adviser: Jenny Jeffs and Daniel Gomez

Functions/Responsibilities​:

  • Manage all aspects of registering students and servers for courses and work periods held at Dhamma Surabhi, and 1-Day courses at VVH that require registration.
  • Work closely with the conducting ATs, the reviewing ATs, and the Centre management team to facilitate the enrollment of the maximum number of students in each course.
  • Assist the Dhamma Service Committee when servers are needed for specific tasks.
  • Help coordinate the rideshare program.
  • Respond to inquires on 3 regional phone numbers, fax, and the [email protected], listed under "Contact Us" on the Dhamma Surabhi webpage.
  • Recruit, train and oversee all old students involved with registration of students using DhammaReg.
  • Stay up-to-date with the operating system DhammaReg.

Dhamma Service Committee

Committee Coordinator: Susan Brooks

Assistant Teacher Overseer: Lorena Havens

Functions/Responsibilities​:

  • Encourage service at Dhamma Surabhi by developing ways to contact old students and publicize upcoming events that give opportunities to serve.
  • Oversee and support the Centre Management Team with the Metta Day table on day 10.
  • Update the Service whiteboard when required and encourage old students interested in serving to fill out a questionnaire, which is added to the DhammaReg database.
  • Assist other committees in finding suitable old students to serve in various capacities.
  • Work with Registration Committee using the DhammaReg database to search and contact suitable old students.
  • Update the Service whiteboard at the VVH when required.

Media & Technology Committee

Committee Coordinator:

Functions/Responsibilities​:

  • Oversee implementation of new technology.
  • Research options for improvements in Centre technology and make recommendations.
  • Provide information about technology used at the Centre.
  • Provide support to Centre Management on technology troubleshooting.

Grounds and Garden Committee

Committee Coordinator: Patrick McKay

Assistant Teacher Adviser: Edith Strand

Functions/Responsibilities​:

  • Landscapes and maintains courtyard and gardens around the Centre.
  • Advise on tree maintenance, removal of dead trees.
  • Advises on landscaping requirements in regards to expansion projects.

Communications Committee

Committee Coordinator: Craig Carpenter

Functions/Responsibilities :

  • Maintain and update Dhamma Surabhi’s Facebook page.
  • Oversee quarterly newsletter.
  • Coordinate with Dhamma Modana 
  • Send out announce emails as needed.
  • Update Webmaster with pertinent information
  • Organize events for the public, such as open houses and public talks.

Vancouver Vipassana Hall Committee

Committee Coordinator: Thomas Hicks

Assistant Teacher Adviser: Veronika Gruber

Functions/Responsibilities​:

  • Oversee the financial viability of the Vancouver Vipassana Hall.
  • Establish and maintain the relationship with the landlord, implement any new orders from the landlord.
  • Maintain the supplies, furnishings, and audio system required at the hall.
  • Oversee the cleaning and maintenance.
  • Manage, recruit and train the group sit hosts required for each group sit.
  • Organize and publicize special events, ie. Potluck Memorial for Goenkaji
  • Organize the schedule of group sits and day sits.
  • Update and maintain the calendar on the Surabhi website.

Standing and Special Committees

The Trust may, from time to time, create such standing and special committees as it deems necessary, provided that such committee will include at least one Trustee. Upon completion of the specified task for which it was appointed, a special committee will be dissolved.
